MENTORING PROGRAM POLICIES AND PROCEDURES

RECRUITMENT OF MENTORS

The Mentoring Program is open and available for all students attending Southeastern University. Each fall quadmester, members of the Mentor Program Committee will distribute Mentor Interest Surveys to all faculty and staff members. All faculty and staff who are hired in the Winter, Spring and Summer quadmesters will receive Mentor Interest Surveys from the Office of Human Resources with their new hire packets. Subsequently, those individuals who return surveys indicating that they will be interested in serving as mentors will receive Mentoring Program guidelines, policies and procedures and goals and expectations. A detailed report of Mentor Recruitment efforts will be prepared by the Chair of the Mentoring Committee and submitted to the Dean of Faculty and Academic Affairs each quadmester.

ELIGIBILITY OF MENTORS

Mentors:

  • must be knowledgeable of the Mentoring Program and abide by all rules and regulations/policies and procedures of the University;
  • include faculty (full-time or adjunct) or staff members of the University;
  • must agree to a one-year commitment to the Mentoring Program;
  • must communicate with the mentee a minimum of twice each quadmester;
  • must keep accurate records of communication with his or her mentee(s);
  • must treat mentees and potential mentees courteously, respectfully and patiently in all circumstance;
  • keep confidential all information shared with them by mentees;
  • demonstrate outstanding public relations and customer service skills;
  • must not be currently under treatment for mental disorder or have been hospitalized for a mental disorder in the past three years;
  • have never been arrested or convicted of any charges of molestation;
  • must not have been a convicted felon; and
  • must participate in all scheduled mentor training sessions.

ELIGIBILITY OF MENTEES

Mentees must:

  • be a registered student at Southeastern University;
  • be abide by the rules and regulations of the Mentoring Program and all others established by Southeastern University;
  • be willing to communicate with his or her Mentor either by telephone, email, or in person at least twice per term;
  • complete a written application;
  • participate in a personal mentee interview;
  • acknowledge understanding of their rights and responsibilities; and
  • receive parental/guardian consent if under 18 years old.

The Mentoring Program staff retains the final decision for accepting a Mentee into the program.

ASSIGNMENTS OF MENTEES TO MENTORS

1. Each term, the Mentoring Committee will recontact Mentors who are currently serving to learn if they may be willing and able to take on additional mentees. They will also assess if any additional faculty or staff members have expressed an interest in mentoring. A list of mentors will be created for the upcoming term.

2. During the admissions process, all new undergraduate students will be given a "Mentor Program Interest Form" with their acceptance letter (and thereby given an opportunity to express their interest in program participation). Certain groups of students may be targeted by the Mentoring Committee for special attention and encouragement to participate in the program. These groups may include:

  • students who receive public assistance;
  • students who are admitted through the Admissions Committee;
  • international students who are studying in the United States for the first time;
  • first generation college students;

3. Members of the Assignment Group of the Mentoring Committee will compare the number of students requesting/requiring mentors to the number of mentors available for the upcoming term and proportionately make assignments. They will forward a list of the name, student i.d. number and contact information (name, address, telephone number and email address) of the mentees to the mentors. Ideally, this should happen by the week before the start of each term.

4. Mentors should contact Mentees no later than the second day of classes to introduce themselves and offering assistance to their Mentees.

5. If for any reason, a Mentee wishes to be reassigned to another mentor, he or she may do by notifying the Mentee Assignment Coordinator in writing.

MENTORING ACTIVITIES

1. Mentoring comes in many forms. Communication with Mentees may be accomplished by telephone, through email or in person.

2. Mentors are encouraged to contact Mentees to advise them about and encourage them to attend SEU events and activities.

3. Many mentors chose to invite their mentees to off-campus cultural/social/recreational/familial programs/celebrations/events. If a mentoring activity is to be held off-campus, the Mentor must complete a "Mentoring Program Off-campus Activity Form" and submit it to the Chairperson of the Mentoring Committee to be maintained and recorded. If the Mentee is under 18 years old, the Mentor must receive parental/guardian consent of the bottom of the form. Mentors must ensure that mentees have the appropriate insurance coverage so that the Mentor or the University will not be held liable. The University is not responsible for travel expenses related to training or mentoring conducted off campus (unless otherwise prearranged and sanctioned by the University).

4. All mentoring activities/programs must be in compliance with University regulations.

DOCUMENTATION AND RECORD-KEEPING

1. All records must be kept confidential and supported by the conditions outlined in the confidentiality policy. Archival records must be kept for a period of four years or the time it takes for the mentee to graduate from Southeastern University. After that period, the records may be destroyed with the written approval of the Dean of Faculty and Academic Affairs or the President of the University.

2. Mentors are required to keep detailed records of their communications and activities with their mentees. At the end of each quadmester, mentors will be required to submit evaluations for each of their mentee. The evaluations and other documents concerning each mentee will be maintained by the Chair of the Mentoring Committee. The Chair will use these evaluations and other information to assess the success of the program.

VIOLENCE AND PHYSICAL CONTACT

Fighting, profanity, swearing, inappropriate touching/contact or verbal abuse or degradation is not allowed under any circumstances. Mentors and mentees must behave in a civil and respectful manner at all times. Mentor and mentees are subject to the Codes of Conduct detailed in the Employee and Student Handbooks.

RECOGNITION PROGRAM

Each May, the Mentoring Committee will sponsor a recognition program. The purpose of the program will be to:

  • thank the mentors and the mentees for their participation;
  • acknowledging outstanding service; and
  • celebrating the success of the mentees
